Submission Status

This section contains information on submissions. This will primarily be for submissions passed through the Aspen office, but I will try to keep track of all submissions originating from any of Caerthe's sub-groups as well.

Most Recent Letter Publication Dates:

  • Last LoAR Published: April 2008, released August 31st, received September 9th.
  • Last Outlands LoI Published: September 2008
  • Last Outlands LoR Published: June 2008
  • Last Outlands LoP Published: September 2008

Submission Processing Pages:

  • Active Submission Status': This lists all items currently in submission that have not been ruled on by Laurel or have not been returned at any level. The most recent returns will also be listed here.
  • Archive of Submissions: This lists all items either returned or registerd. This will probably only list the last few months of items.
  • Documentation Summaries: This is used by Aspen Pursuivant to make Castle Herald's job a little easier. It is where long documentation summaries or submission history documentation are put so that Castle doesn't have to type them all in.

What does a submission cost?

Each item being submitted costs $9. Resubmissions are free.

How many copies of things do I need?

For names, you need to provide your local herald with three (3) copies of the name form and all attached documentation. Please remember that there are some sources that don't require photocopies.

For armory, you need to provide your local herald with three (3) copies of the armory form with a line drawing of the armory, and four (4) copies of the armory form with colored armory. Remember that you should use Crayola Classic Markers when coloring your armory or similar markers. Anything else has the potential to be returned. Crayons and Color Pencils will always be returned.

What are these terms anyway?

You see a lot of abbreviations and terms used in SCA heraldry. While this is not an exhaustive list, it deals with all the abbreviations you should see on these pages. For a more complete listing, check out the SCA College of Arms Glossary.

  • Aspen Pursuivant: Also just called "Aspen". This is the local group herald for Caerthe. Baronial level heralds are called "Pursuivants".
  • Castle Herald: Also just called "Castle". This is the Outlands Kingdom level herald in charge of Internal Submissions processing. Kingdom level heralds and above are called "Heralds".
  • Client: This is the person wishing to register a name or armory.
  • CoA: College of Arms - This is the group of heralds throughout the Known World. It is primarily a reference used with submission processing.
  • CoH: College of Heralds - This is the group of heralds within a single Kingdom. Each Kingdom has their own College of Heralds.
  • LoAR: Letter of Acceptance and Return - This is the letter that the Laurel Soverign of Arms puts out monthly regarding submissions rulings, and other submission related matters.
  • LoI: Letter of Intent - These are letters produced by each Kingdom addressed to the SCA College of Arms where the Kingdom submission herald effectivily says "here are submissions from our Kingdom. We don't see any issues with these, and we would like the College to register them."
  • LoP: Letter of Presentation - These are letters produced by each Kingdom addressed to the members of the Kingdom's College of Heralds that lists the submission items sent in from local heralds. This is used by the College of Heralds to review and comment on before the items are sent to Laurel for further review and possible registration.
  • LoR: Letter of Response - These are letters produced by each Kingdom addressed to the members of the Kingdom regarding the submission activity during the preceeding period. This is where the Kingdom submission herald tells people what items were sent to Laurel in the LoI, and which items were returned for further work and for what reason.
  • OCoH: Outlands College of Heralds - This is the specific College of Heralds within the Outlands.
  • Packet: A group of submission paperwork sent to appropriate herald group. Generally this is a packet from a local herald to the OCoH or from the OCoH to the CoA. There is generally a single packet each month at each level.
  • Rampart Herald: Also just called "Rampart". This is the Outlands Kingdom level herald in charge of External Submissions processing. Kingdom level heralds and above are called "Heralds".
  • Return: A Return is when a submission item cannot be registered for a particular reason, and is instead returned to the submitter for further work.

Why does the submission process take so long?

The submission process seems to take a long time, and that can be frustrating to many people. The CoA really doesn't twiddle their thumbs (however much it may appear that way) and it registers or returns items as quickly as it possibly can. That is one of the reasons that submissions go through local, Kingdom/OCoH, and then Laurel/CoA reviews. This allows problems to be noticed and dealt with as quickly as possible. It also takes a while for all the submission items to be looked at by the CoA, and remember, this is done completely by volunteers - and believe me, it is real work.

The following is a sample timeline for submissions. This should be pretty accurate for new submissions. Resubmissions are a little shorter at the begining, because you don't have to wait for a check from your local group.
